Separate the payment categories
Ask what is paid to the training provider and what is paid separately to the agency or another organisation. Confirm learning materials, required programmes, examination or application charges, equipment, facilities and any transfers. If something is included, record that explicitly rather than leaving the field blank. Check currency and tax treatment on the actual quote.
Include time away from normal work
Add accommodation, transport, food and the cost of extending the stay if your plan changes. Keep foregone income separate from invoices so you can see both the cash requirement and the wider personal commitment. Do not use an assumed future instructor salary to make the course appear self-funding.
Model uncertainty honestly
